For Managers
Preferences and deadlines
Setting the preference deadline for a period, and submitting on behalf of a worker who cannot.
This page is a placeholder. Its structure is fixed; the writing lands in a later phase.
Preferences are the input you build from, so the deadline is what decides who you can build with.
Do it
Open Preferences oversight and check the house and period on the header. An SM (Student Manager) sees their own house. An HM, BA or RSM may inspect any house.
Set New deadline and select Set deadline . It must fall on or before the period’s start date, and submission closes at end of day in New York.
- Watch the roster for who is still marked Not yet .
Open a worker’s row to paint their week on their behalf. Same grid the worker uses: preferred, available, cannot, plus their target hours.
- Save. Repeat for the next worker.
What you’ll see
The counts across the top move as workers respond: submitted, no hours, and not yet. Reminders go out 5, 3 and 1 days before the deadline to anyone who has not answered.
An on-behalf save writes only that one worker. It never touches anybody else’s week, and it does not reopen submission for the rest of the house.
Rules that apply
- Workers cannot change preferences after the deadline, because you build against a fixed input. Only a manager may write past it.
- You build after the deadline passes. Moving the deadline later moves the day you can start. See Building a schedule.
- Blocks a worker left unmarked count as cannot in Phase 1, so a half-filled grid hides somebody from the card as effectively as a refusal.
- A summer season carries one deadline for all houses, authored by the Administrator on the season. You may still adjust your own. See Operating seasons and calendar.
- A transferring worker paints their new house. Preference collection uses the house they will belong to at the period start. See People: hiring, roles, transfers.
If it goes wrong
“The preference deadline must fall on or before the period start date.” Pick an earlier date. There is no collecting preferences for a period already underway.
The deadline card is locked. The period is published, so its window cannot move. Change the live schedule instead. See Editing a published week.
“You can only edit preferences for workers in a house you manage.” You are an SM opening another house’s worker. Ask that house’s SM or its HM.
